COVID-19
Fat Pheasant Shepherd Huts (FPSH) expects guests to follow the government’s rules and keep abreast of changes which may affect their stay. Should rules be imposed after you have booked meaning your stay no longer complies with restrictions, then FPSH will offer a full refund if your cancellation is within five days of check in, if it is not then we will offer you the chance to move your stay (subject to availability), or defer your stay to the following year.
If the government imposes a nationwide or local lockdown meaning FPSH is forced to close the site, we will issue affected guests with a full refund or the option to move their booking to the following year. If a member of a group contracts COVID-19 or is not able to travel due to a COVID-related reason, then FPSH will move your booking or issue a gift voucher for any payments made.
FPSH will be conducting a COVID-19 risk assessment before the start of the season, and the team will be working hard to uphold hygiene and safety standards. If the government states it is essential then guests will be expected to download the NHS Track & Trace App and register their presence at FPSH by scanning our unique QR code at check in. Guests are expected to inform FPSH if they test positive for COVID or come into direct contact with an infected person during or after their stay. FPSH will contact any guests or staff who may have come into contact with an infected person, following GDPR rules.
FPSH is subject to spot checks, with fines if the site fails to comply with COVID-related rules. Therefore the FPSH team reserve the right to enforce government rules onsite all the while restrictions are in place (e.g. dispersing groups if they exceed limits). If the team feel the rules were being broken or our guests or staff being put at risk, they will ask guests to leave the site without a refund.
CANCELLATION POLICY
Bookings cancelled more than 30 days before the start date will be refunded, minus a 25% cancellation fee, which is equal to the non-refundable deposit paid.
Bookings cancelled within 30 days of the holiday start date will not be refunded.
[Covid-19 update: If Government advice requires us to close the site you will receive a full refund. If you or any member of your party receive a positive COVID-19 test, are showing symptoms or are coming from an area with lockdown restrictions in place, we will be more than happy to move your booking to a later date - please just let us know.]
Whilst every effort will be made to avoid them, booking errors made by FPSH will mean that all your payments are refunded in full. We are not liable for any amount greater than that which has been paid by the guest.
DEPOSIT
To secure your required booking date, a non-refundable deposit of 25% of your booking is taken. This amount goes towards the total amount due for your stay, which is due 30 days before your booking date. For bookings made less than 30 days in advance, the full amount is payable at time of booking. Your booking is not confirmed until the booking deposit is received in cleared funds. Acceptance of these terms and conditions is automatically assumed so we recommend you read them carefully before payment of the deposit. You will be sent a reminder when your balance is due. If this is not paid by the due date we reserve the right to release your accommodation back into general sale.

CHECK IN/OUT
Check in is between 4pm and 8pm. We would appreciate it if you could let us know your estimated time of arrival, so we can be ready to meet you. Checkout from your hut is 11am. We are happy to store your bags should you wish to explore the farm for longer.
GROUPS
The person booking, when booking on behalf of other people, is responsible for disseminating the appropriate information to those persons that we send them. For example, these Terms and Conditions, hut details including house rules, and the information given on arrival, to ensure they are fully aware of the nature of the site, Health and Safety issues, the wider farm, the facilities, appropriate clothing and footwear they require.
DAMAGE
If you cause any damage to your hut or elsewhere on the farm during your stay please inform us immediately so that we can inspect the damage and let you know as soon as possible what the result will be. We understand that accidents happen but often damage is made a lot worse by being left without any clearing up until we find it.
We reserve the right to charge guests for any damage caused to your hut/tent or to the site in general.
For group bookings of more than 4 people a refundable damage deposit of up to £500 may be requested to cover any damage, breakages or cost of additional time spent cleaning where the venue is not left in a reasonable state or if, in our opinion, you have behaved in an unreasonable manner. The damage deposit will be refunded in full at the end of your stay unless any of the above have occurred. Should any member of staff have to intervene because of your unreasonable behaviour, £50 of the damage deposit will be retained for each call out.
If the damage deposit is not paid prior to your stay or if the damage caused is more than the amount of the damage deposit then we reserve the right to charge your card directly for the amount of damage caused.
If you lose a key to your hut you will be liable to pay £20 for a replacement.
NUISANCE
Although the huts are secluded, guests must be respectful to other guests and those that live on the farm and in the village. Loud noise and nuisance that disturb others will not be tolerated at any time and all noise must be kept to a minimum after 11pm. Guests who in our reasonable opinion are causing nuisance may be liable for loss of damage deposit money and/or be required to immediately leave the site.
OCCUPANCY
Occupancy of a hut must not exceed 2 adults and two children and occupancy of a bell tent must not exceed 4 people and we reserve the right to decline accommodation and/or ask you to leave the site at any time if your numbers exceed this. The booking will then be deemed cancelled with full loss of payment.
In certain circumstances additional tents may be brought by a guest, but only by prior agreement with the owners and payment of an additional fee.
We don't allow anyone on site who is not staying with us, unless this has been specifically requested prior to your stay and we have agreed to it under the specific circumstances.
WARNING
Please remember you are staying in a working farm environment with live animals and other hazards including the proximity of water and animal sets (holes). Some of the site equipment can be dangerous if misused. The proprietor accepts no liability for any accident, injury, loss or damage sustained by any resident, their family, visitors, animals, vehicle or personal effects however caused.

COMPLAINTS
Any complaints must be made known to us immediately. No complaints will be entertained at the end of the stay or after the guest has departed.
CLOSURES
In extreme weather FPSH reserves the right to close the site. No refund will be given if the site is unable to open due to extreme weather and if we feel the venue has become unsafe but alternative dates will be offered for your payment to be set against.
CHILDREN
FPSH welcomes families, and we pride ourselves in providing a good environment for children. We are, however, a working farm. You must always make sure your children are safe, and if they leave the area surrounding your hut they must be accompanied by an adult.
PETS
FPSH welcomes dogs, but please let us know you are bringing them so that if any of our other guests have allergies or concerns we can keep everyone happy. Those bringing a dog are subject to an additional £20 cleansing fee per stay. Please bring a bed for the dog, keep the dog close at all times and pick up after it. Your dog is not allowed on the beds or any other soft furnishings. If a dog causes a nuisance, or is found unaccompanied at any time, we reserve the right to ask you to leave the site without a refund.
BELONGINGS
FPSH accept no liability for any belongings left on site at any time, including but not limited to within huts, tents and cars. If you have valuable items that you wish to leave in a secure place please let us know and we will store these for you at your own risk.
SMOKING
Smoking is not permitted inside the huts, tents or in the barn under any circumstances. Smoking outdoors is permitted but you must be at least 5 metres away from huts or tents. Please collect any cigarette butts and dispose of them appropriately. These rules apply to vapes as well.
THE LAW OF THE LAND
It is essential that all guests follow the law of the land at all times. Anyone found to be breaking the law of the land will be asked to leave immediately, with no refund and will be reported to the police.
